The registrant should be prepared to verify their identity in a reliable way.

Dataspace Europe will reply to the customer's request no later than one month after receiving the request and identifying the requester, unless there is a special reason to extend the response time.

3. REGISTER'S NAME

Dataspace Europe Oy's customer register. Dataspace Europe's customers and potential customers are registered in the register.

A potential customer typically emerges when a person expresses their interest in Dataspace Europe's services at customer events, digital services or in connection with other personal encounters.

4. PURPOSE OF PROCESSING PERSONAL DATA AND BASIS FOR KEEPING THE REGISTER

Dataspace Europe as the data controller or the personal data processors authorized by its contracts use the personal data of customers and potential customers in accordance with the Data Protection Act for the following purposes:

  • Customer relationship management and development
  • Offering, delivery and production of products and services
  • Payment, payment control and collection
  • Marketing and distance sales of the registrar's products and services
  • Business development of the registrar and related customer service development and
  • Segmentation and profiling made for the purposes mentioned above

 

The processing of personal data is based on the grounds according to the data protection law in force at any given time, such as:

  • In the contractual relationship between the registrant and Dataspace Europe
  • For a legitimate interest, e.g. when Dataspace Europe uses data of the data subject for marketing its products and services or processes internally or with a third party involved in the production of the service
  • To the consent of the registrant, when the registrant has given their consent to digital marketing or other consent separately requested by Dataspace Europe.

 

In addition, Dataspace Europe's processing of personal data is based on other mandatory, statutory obligations.

With the help of analytics, the observed use of the service and/or the information provided by the customer can be used to derive, for example, the customer's possible interests or to segment the customer into a certain target group.

In updating and enriching the above-mentioned data, external data sources may be used, which are described in more detail below in the section on statutory data sources.

6. REGULAR INFORMATION SOURCES

Information about customers is obtained from customers, e.g. in connection with requests for offers, orders, contracts and other contacts, as well as the information that is or will be saved from the use of the customer's products or services.

Information on potential customers can be obtained from e.g. in connection with contests, raffles and telephone sales.

Information is collected with the help of cookies and similar technologies in accordance with the procedures allowed by the regulations in force at any given time. The use of cookies is described in the cookie clause of the terms of use of each digital service.

All customer contacts can be saved. The recordings are used for verifying contacts, processing complaints and developing customer service.

Personal data can also be collected, stored and updated, for example, from the register of the Population Register Center, Suomen Asiakastieto Oy and other registrars offering address, update and other similar services.

7. REGULAR DISCLOSURES OF INFORMATION

The data subject's data will not be disclosed to recipients acting on behalf of Dataspace Europe or to third parties participating in the production of the service package without the express consent of the data subject.

Information is disclosed to the authorities in cases required by law, such as e.g. to investigate and prevent abuses.

8. DATA STORAGE

The registrant's data will only be stored as long as necessary to fulfill the needs defined in section 4.

9. DATA TRANSFER OUTSIDE THE EU OR THE EUROPEAN ECONOMIC AREA

Personal data is transferred outside the European Union or the European Economic Area only with procedures in accordance with the Data Protection Act, for example using model contract clauses approved by the European Commission.

10. REGISTRY PROTECTION PRINCIPLES

Register data is protected with personal usernames and passwords. Only authorized and specified users can process the data they maintain. Backups are taken from the registry at regular intervals. The information in the customer register is in databases that are protected by firewalls, passwords and other technical means.

11. RIGHTS OF THE REGISTRANT

11.1 The right to access and inspect information

The registered person has the right to receive a copy in paper or commonly used electronic form and to check their own information described in this statement. The information can be obtained according to the contact information given in section 2.

11.2 The right to correct data and limit processing

The registrant has the right to correct the data by submitting incomplete or incorrect data with explanations in accordance with the contact information stated in section 2. If the registered person has access to the electronic service channel offered by Dataspace Europe, they can update their own information within the limits allowed by the services.

The registered person also has the right to limit the processing when requesting it, until the information is updated.

11.3 Right to data transfer

The registrant has the right to transfer the data they have provided to another system.

The transfer request can be submitted according to the contact information stated in section 2.

11.4 Right to delete data

The registered person has the right to request the deletion of their data. Deletion is possible in the case of a consumer customer no earlier than 10 years after the end of the contract due to Dataspace Europe's obligation to correct the billing for the aforementioned period.

11.5 The right to object to automatic decision-making, including profiling

In digital service channels, it is possible that, based on the data provided by the data subject, the eligibility for a contract is automatically checked, for example.

When using automatic processing and reasoning according to it, the data subject has the right to object to it, if the procedure is not necessary for the conclusion or execution of the contract.

In such cases, the registered person will be informed of alternative ways to proceed in handling their case through other channels.

11.6 The right to withdraw consent

The registered person has the right to give their consent to digital marketing and to deny it at any time. This can be done in addition to the contact information described in section 2 by updating their own information through Dataspace Europe's electronic services or by using the ban link in the electronic newsletter.

11.7 The right to object to the use of cookies

In connection with Dataspace Europe's digital services, we use cookies. In the terms of use of the services, there is information about preventing the use of cookies and its effect on the service.

11.8 The right to file a complaint with the supervisory authority

If the data subject considers that their data has been processed in violation of the data protection statement and the legislation in force at any given time, they have the right to complain to the competent supervisory authority.
